1. Who we are
LoadCollect is a service of Sperrin Consulting, which is the data controller. Contact: info@loadcollect.com. Our address is available on request.
2. What we collect
Your phone number and WhatsApp name; company name, email and O-licence number; your regions, trailer types and alert settings; the messages, photos, PDFs and voice notes you send us; load and job details; driver names and numbers you give us (please make sure they are happy for you to share them); POD photos, and the receiver's name and certificate; customs documents; sales listings (title, details, price and photos); ratings, reviews, reports and payment-check answers; payment status from Stripe and a card fingerprint from Stripe, which we use to allow one free trial per card (we never see your card number); and your IP address, kept briefly for rate limiting and to prevent abuse.
3. Why we use it
To run the service you signed up for (contract): posting, matching, alerts, job packs, PODs and records. To keep members safe (legitimate interests): O-licence checks, ratings, payment checks, reports and suspension. To email you a record of each completed job and, on the 1st of each month, a job list and CSV of last month's jobs (the other party, rate and who signed). To send you occasional LoadCollect news in WhatsApp (legitimate interests); reply STOP at any time to opt out. To take payment (contract). To meet legal duties such as tax records (legal obligation).
4. Who processes it for us
Meta (WhatsApp), Twilio (messaging), Stripe (payments), Resend (email, including your job records), OpenAI (reading load details from messages, photos and documents, transcribing voice notes and screening review comments; the voice recording itself is never forwarded to other members), Supabase (database and file storage) and Vercel (hosting). Each is bound by a data processing agreement. Some process data outside the UK under the UK's approved safeguards (adequacy regulations or the International Data Transfer Agreement or Addendum).
5. Who else sees it
Other members see what you post and what a job needs: your company name, your trust line and, once a job is confirmed, the contact details for that job. Star ratings and any written review comment you leave are published in that firm's public reviews, which any member can see. Your comment is shown without your name; the firm you review is told who left it. Comments are screened by AI before publishing and can be reported. Sales listings (title, details, price and photos) are visible to all members until the listing expires. Customs documents are shared with the haulier on the job. We never sell your data.
6. How long we keep it
Account details are kept while your account is open and for 6 years after it closes (tax and dispute records). Job, POD and payment-check records are kept for 6 years. Messages, photos, PDFs and voice notes are kept with the job record for the same 6 years. Ratings and review comments are kept with the account record (while the account is open and for 6 years after it closes).
7. Your rights under UK GDPR
You can ask for access, correction, deletion, restriction, objection and portability. Email info@loadcollect.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
8. Cookies
This website sets no cookies and does no tracking. Your browser stores an offline copy of one page (via a service worker) so it shows when you lose signal.
